How does Rockridge Digital manage projects and what tools do you use for communication and task management?
For core work, we have standardized on the Microsoft suite of products because of the in-built security and the assurances we can get from Microsoft for securing our agency data and our clients’ data. The core of what we use revolves around Teams, OneDrive, Sharepoint, Loop, and other Microsoft products. That said, many times we need to work with tools specifically provided by or used by clients, and those tools may include the Google suite of products, Slack, Asana, Wrike, Adobe Workfront and others. We usually have a discussion with our client up-front about their workflow, and attempt to support that existing workflow as seamlessly as possible.
How often can we expect to hear from Rockridge Digital team members, and who will be our day-to-day point of contact?
The frequency of contact is normally set at the start of the engagement. In most cases, clients hear from us at least once a week, and in some cases, multiple times in any given day. Your main point of contact will either be a senior-level project manager or a company principle who will oversee the account.
What is the process for incorporating client feedback and managing scope creep?
We ask that each client designate a single point of contact for the account, so that all communications (including feedback and changes) can come through that one person who can manage the expectations of multiple internal stakeholders. If we are working together in a project management system, we ask that updates and approvals get recorded on the task in the project system. We also hold at least weekly or bi-weekly client meetings where we run through updates, feedback, and any other items important for keeping the work and the relationship on-track.
How do you define success for a client project, and what KPIs will you put in-place?
Each client engagement will have relevant success criteria and KPIs discussed and put in-place at the start of the project if not before. In some cases, the measures of success are focused on project or task completion on-time, on-budget, and according to quality and scope. In other cases, the success of the engagement will rely on metrics like lead volumes, lift in awareness, or other factors. Unique KPIs will be put in-place at the start of each engagement.
When a campaign or strategy is underperforming, what is your process for diagnosing the issue and course-correcting?
We monitor the program’s success criteria every week via internal meetings and reports. When we see a project starting to show signs of having challenges, we immediately raise the concern to the client, along with options for bringing the project back on track. All clients have a direct line to agency principals so that they can discuss concerns openly and freely.
How do you handle disagreements or conflicting ideas, and how do you ensure a productive, collaborative relationship?
At Rockridge Digital, we believe that ideas and innovations can come from anywhere. It is our culture to listen, ask questions, and consider different perspectives so we don’t miss context or opportunities. We enjoy holding brainstorming sessions with clients, and when appropriate, workshops that will educate and inspire. We are here at Rockridge Digital because we are passionate about marketing and are driven by the opportunity to help our clients accelerate their business growth. When it comes to an ideal client partner, we have found that it is critical to have a partner that is able to communicate clearly, consistently, and proactively, and who has the authority to be able to make decisions or get decisions made within their organization.
How do you handle delivering bad news to a client?
Since we believe that no one ever enjoys providing or receiving bad news, we are proactive in our communication and attempt to provide not only the necessary information, but also a range of options to rectify any situation that may need attention or remediation.
